This Privacy Policy explains how AIProMove ("AIProMove," "we," "us," or "our") collects, uses, discloses, and protects information in connection with our moving- and storage-operations software and related websites and services (the "Service"). It applies to the businesses that subscribe to the Service and to the individuals whose information we process in providing it. By using the Service, you acknowledge the practices described in this Policy.
01Our role & scope
We provide the Service to business customers. For much of the operational data our customers enter about their own clients and employees, our customer is the "controller" (or business) responsible for that data, and we act as a "processor" (or service provider) handling it on their behalf and under their instructions. For account registration, billing, website, and security data, we act as the controller. This Policy describes both roles.
02Information we collect
Account & business information you provide: your name, company name, work email, password, and business-verification details (legal business name, business address, USDOT/MC number or state moving license, business phone, and website). Operational data you enter: information about your customers, jobs, estimates, invoices, payments, documents, and employees. Payment information: processed by our third-party payment processor; we do not store full payment-card numbers. Communications: your messages, support requests, and other content you submit. Usage, device & log data: IP address, browser and device type, pages viewed, actions taken, and timestamps. Cookies and similar technologies as described below.
03How we use information
We use information to provide, operate, secure, maintain, and improve the Service; create and administer accounts; verify identity and business eligibility, including sending one-time email and SMS verification codes; process subscriptions and payments; provide customer support; send service-related communications; detect, prevent, and investigate fraud, abuse, and security incidents; and comply with our legal obligations. We do not sell personal information, and we do not use it for cross-context behavioral advertising.
04Mobile messaging (SMS)
When you provide a mobile number to AIProMove — for example, to verify your phone during sign-up — we use it to send SMS messages such as one-time verification codes and account notifications. You opt in by submitting your number in the app. Message frequency varies by your activity; message and data rates may apply. Reply HELP for help or STOP to opt out at any time. No mobile information — including phone numbers and SMS opt-in or consent — is shared with or sold to third parties or affiliates for their own marketing or promotional purposes. We share numbers only with the messaging providers that deliver these texts on our behalf, solely to send them.
06How we disclose information
We disclose information to: service providers and sub-processors that perform functions on our behalf, under contract and only as needed to provide the Service; users within your organization, according to the roles and permissions your administrator configures; authorities or others when required to comply with law, respond to lawful requests, enforce our agreements, or protect the rights, safety, and security of users and the public; and an acquirer in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy. We do not sell personal information and do not share mobile opt-in information with third parties for their own marketing.
07Sub-processors
We rely on reputable providers to deliver the Service, including for cloud hosting and database infrastructure, transactional email delivery, SMS and voice messaging, payment processing, mapping and address/geocoding, optional accounting integration when you connect it, and error and performance monitoring. Each processes data only to provide its service to us and is bound by confidentiality and data-protection obligations. A current list of sub-processors is available on request.
08International data transfers
We may process and store information in the United States and other countries where we or our sub-processors operate. Where required, we use appropriate safeguards for cross-border transfers of personal data.
09Data retention
We retain information for as long as your account is active and as needed to provide the Service, then delete or de-identify it in accordance with your agreement and applicable law, except where longer retention is required for legal, tax, accounting, or security purposes. You can export your data while your subscription is active.
10Security
We use administrative, technical, and physical safeguards appropriate to the risk, including encryption of data in transit, access controls, and role-based permissions, and we restrict access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, to opt out of certain processing, and to appeal a decision. Because much of the information in the Service is controlled by our business customers, individuals should direct requests to the relevant business (the controller), and we will assist that business in responding. You may also contact us at contact@aipromove.com. We honor applicable rights under laws such as the EU/UK GDPR and the California CCPA/CPRA, including the right not to have personal information sold — which we do not do — and we will not discriminate against you for exercising your rights.
12Data Processing Addendum
Where we process personal data on behalf of a business customer, a Data Processing Addendum (DPA) governs that processing and describes each party’s responsibilities. A DPA is available on request.
13Children’s privacy
The Service is a business tool that is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, please contact us so we can delete it.
14Third-party services & links
The Service integrates with and may link to third-party services, such as payment, accounting, mapping, and messaging providers. Their collection and use of information is governed by their own privacy policies, and we encourage you to review them.
15Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, provide additional notice. Your continued use of the Service after the changes take effect constitutes acceptance of the updated Policy.
